A dispute often turns on what was sent, when it was sent and who received it. Keep the consignment note, its attachment list and the actual versions of the documents together. Transmission records, acknowledgements and messages about later changes help complete that sequence.
For the administrative procedure, preserve consignment-note entries, directions, authority requests and responses. Record who was expected to handle the formality, where it was to take place and which procedure was specified. This makes it possible to compare the instructions with the options in Article 15(4) to (7) CIM.
If damage is claimed, distinguish the alleged consequence from its cause. Identify the delay, additional handling or other concrete impact said to have resulted from the missing, incorrect or lost document. A dated sequence of events helps assess paragraph 2 or paragraph 3, but does not replace proof of the applicable conditions.
